Privacy Policy

1. Introduction

vAOMS ("we", "our", "us") operates the vAOMS platform, a virtual airline online management system for flight simulation communities. This Privacy Policy explains what personal data we collect, how we use it, and your rights regarding that data.

By using vAOMS you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the platform.

2. Data We Collect

We collect the following categories of personal data:

  • Account information — your name, email address, and password (stored as a secure hash).
  • Network identifiers — your VATSIM CID and/or IVAO VID and name/email to verify your account and online status on those networks, but only if you choose to link those accounts.
  • Flight data — PIREPs, position reports, flight hours, and simulator telemetry you submit through the ACARS client or web interface.
  • Discord ID — if you connect your Discord account for integration features.
  • Usage data — log data such as IP addresses, browser type, pages visited, and timestamps, collected automatically for security and analytics purposes.

3. How We Use Your Data

  • To provide and operate the vAOMS platform and its features.
  • To authenticate you and protect your account.
  • To track and display flight hours, PIREP history, and scoring.
  • To verify your online status on VATSIM or IVAO during flights.
  • To send transactional emails (e.g. email verification, password reset).
  • To detect and prevent abuse, fraud, and security incidents.
  • To improve the platform through aggregated, anonymised analytics.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Third-Party Services

We integrate with the following third-party services. Their own privacy policies apply to data they process:

  • VATSIM Connect — OAuth login and network verification (vatsim.net/privacy).
  • IVAO SSO — OAuth login and network verification (ivao.aero/privacy).
  • Discord — optional account linking for bot integrations.
  • Email providers — for sending transactional emails.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the service. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law or for legitimate business purposes (e.g. fraud prevention records).

6. Your Rights

Depending on your location, you may have the following rights:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — correct inaccurate or incomplete data.
  • Erasure — request deletion of your personal data.
  • Portability — receive your data in a machine-readable format.
  • Objection / Restriction — object to or restrict certain processing activities.

7. Security

We implement industry-standard technical and organisational measures to protect your data, including encrypted connections (TLS), hashed passwords, and access controls. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

8. Cookies

vAOMS uses session cookies required for authentication and CSRF protection. We do not use advertising or tracking cookies. You may disable cookies in your browser settings, but doing so may prevent the platform from functioning correctly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email or an in-app notice. Continued use of the platform after changes take effect constitutes your acceptance of the updated policy.
